Why Password-Protect a PDF?
Financial statements, legal documents, HR files, contracts — sensitive PDFs should be protected so only authorised recipients can open them. A password adds an essential layer of security, especially when sending files via email.
Two Types of PDF Passwords
Open password (User password): Required to open and view the file. Recipients must enter this password to access any content.
Permissions password (Owner password): Controls what authorised users can do — prevent printing, copying text, or editing. The file opens normally, but certain actions are locked.
Step-by-Step: Password Protect a PDF
- Open the Protect PDF tool.
- Upload your PDF.
- Enter a strong password (mix letters, numbers, and symbols).
- Click Protect — download your secured PDF.
Best Practices for PDF Passwords
- Use at least 12 characters for strong encryption.
- Never include the password in the same email as the protected file.
- Send the password via a separate channel (text message, phone call).
- For maximum security, use 256-bit AES encryption (supported by modern PDF viewers).
